How it works

Find the opportunity. Build the system. Automate the work. Measure the result.

Every engagement follows the same four movements, whether we’re building a review campaign, a lead system, or replacing six hours of weekly data entry. Here’s exactly what happens, in what order, and what it asks of you.

The four-step process

01 / FIND

Find the opportunity

Before we build anything we work out where the money is actually leaking. We trace how a customer reaches you today, what happens to a lead at 9pm on a Saturday, how many completed jobs ever get asked for a review, and where your team is doing work a machine should be doing. Then we rank the findings by what they’re worth against what they cost to fix.

You get that ranked list whether or not you hire us. It’s a more useful artefact than a proposal, and it makes the decision obvious in either direction.

02 / BUILD

Build the system

We build inside accounts you own, using the software you already pay for wherever possible. Landing pages, tracking, CRM workflows, review campaigns, AI agents, integrations between tools that don’t currently talk. We scope it in writing first, then build in the order that gets you a working result soonest — not the order that’s most convenient for us.

You see progress as it happens, not at a big reveal at the end.

03 / AUTOMATE

Automate the work

The system takes over the repetitive part. Review requests send themselves. Leads get answered in under a minute and routed to the right person. Records update across systems. Follow-ups happen on schedule whether or not anyone remembers. We train your team on the small part that still involves them, write it down in plain language, and stay close while it beds in.

04 / MEASURE

Measure the result

We baseline the numbers before we build so there’s something honest to compare against. Then every month: leads generated, jobs booked, reviews earned, speed to first response, hours returned to the team, cost per acquired customer. If something isn’t earning its keep we tell you and we change it. That includes telling you to stop paying for something we built.

What it asks of you

About two hours up front, then one call a month.

The most common reason systems like these never get built is that the owner doesn’t have time to run a project. So we don’t ask you to. We need access, a short conversation with whoever does the work, and a decision when we bring you options.

  • A 30-minute kickoff. What you sell, what you want more of, what’s annoying you most.
  • Access to your systems. Google profile, CRM, ad accounts, website. Read-only where that’s enough.
  • 45 minutes with your operators. The people doing the repetitive work know exactly where it hurts.
  • Sign-off on messaging. We draft, you approve. It goes out in your voice, not ours.
  • One monthly call. What happened, what we’re changing, what’s next.

How pricing works

Build fee, then a flat monthly. No percentage of your ad spend.

We won’t publish a price list, because quoting a review campaign for a two-truck plumber and a nine-location dental group at the same number would be dishonest. What we will do is give you the full number in writing before you commit to anything.

One-time build fee

Scoped to what we’re actually building. Review automation sits at the low end; multi-channel lead systems and AI implementations at the higher end. Fixed price, fixed scope.

Flat monthly

Running, monitoring, reporting and improving the system. Same number every month whether you spend $2k or $20k on ads — we’re not incentivised to inflate your budget.

Pass-through costs

Ad spend, SMS, software licences and AI usage are paid by you, directly to the vendor, in your own accounts. You see the real cost. We never mark it up.

If we don’t think we can produce a return that clearly exceeds what we’d charge you, we’ll tell you on the first call. That conversation is short, free, and saves everyone a quarter.

Typical timeline

From first call to a system that’s running.

Day 0 — Strategy call

30 minutes. We look at your lead path, your review profile and your time drains.

Day 1–7 — Audit & ranked opportunities

Written findings, prioritised by value against effort. Yours either way.

Day 7–10 — Scope & proposal

Exactly what gets built, what it costs, what it should produce, when it’s live.

Week 2–6 — Build

In your accounts, visible as it happens, documented as we go.

Launch week — Test, train, switch on

Live tests through your own phone, a short team briefing, then it runs.

Monthly — Measure and improve

Outcomes against baseline. Cut what isn’t working, expand what is.

FAQ

Practical questions

What does an engagement cost?
Two parts. A one-time build fee for the system itself, scoped to what we’re building — review campaigns sit at the lower end, multi-channel lead systems and AI implementations at the higher end. Then a flat monthly for running, monitoring, reporting and improving it. Ad spend and software licences are paid directly by you to the vendors, never marked up through us. You get the full number in writing before anything starts.
Is there a long-term contract?
No. Month to month after the build. We’d rather keep the work by being worth keeping than by holding you to a twelve-month term you regret in month three.
How much of our time does this take?
Front-loaded and modest. Expect a couple of hours in the first two weeks — a kickoff, access to your systems, and a short session with whoever actually does the work we’re automating. After launch it’s one call a month unless something needs attention.
Do you work with businesses outside Pennsylvania?
Yes. We’re based in Chester County, PA and work with businesses across the US. Everything we build is remote by nature, and calls happen on video.
What if we only want one thing?
That’s how most engagements start. Website design, lead generation, review automation and AI automation can each be bought on their own. Most clients start with one, add a second when it’s working, and stop whenever it makes sense. There’s no bundle pressure.
Do you build websites?
Yes — it’s where most of our work starts. We build custom sites for service businesses, and we build the follow-up system behind them, which is the part most designers skip. If your existing site is fine and the problem is further down the funnel, we’ll tell you that instead of selling you a rebuild.
What happens if we stop working with you?
Everything keeps running. Accounts, data, pages, automations and documentation are all yours and already in your name. We’ll do a handover session and answer questions afterwards. No hostage-taking.

A 30-minute call. We look at how you get leads, how you collect reviews, and where your team is losing hours — then tell you what we’d build first and what it would take. No deck, no pressure.
